SFOPOM Privacy Statement – (Nordic Members)

The Scandinavian Fellowship of Oral Pathology and Oral Medicine (SFOPOM) takes your privacy and the protection of your personal data seriously. We will only use your data to support the aims of SFOPOM and provide you with membership benefits.

SFOPOM will hold limited personal data that you provide: contact details (postal address, email address, phone number, title or position), and membership/subscription status. These data will be used for the purposes of managing SFOPOM, including contacting you about meetings and distributing information related to oral pathology and oral medicine such as training, clinical practice and research.

Lawful basis for processing
Under the EU General Data Protection Regulation (GDPR), the lawful basis for processing your data is:
· Contract: your membership agreement with SFOPOM requires us to process your data for administration and communication.
· Consent: for certain additional communications or services, we may ask for your explicit consent, which you can withdraw at any time.

Storage and access
Your data will be stored securely on SFOPOM’s website (hosted by Websupport, see websupport.se/privacy). Access is restricted to members of the SFOPOM Council. Data may be shared only with third parties necessary for managing SFOPOM activities (e.g. conference organizers or agencies directly contracted to perform work on behalf of SFOPOM).
If you submit additional data and financial information for events (such as conference or hotel bookings), this will be processed and held by the relevant external organizations and may be shared with SFOPOM only as necessary.

Your rights
You have the right to request a copy of your data, update your information, or request deletion at any time by contacting the General Secretary. Withdrawing consent does not affect the lawfulness of processing already carried out.

Retention
We will retain your data for as long as you remain a member (including honorary or life member) and for one year after membership lapses, to allow us to contact you in case of error.
